Updating an Application or Renewal

This section describes the process required to document the most current information on a previous application or renewal.

When to Update an Application or Renewal

Update the information on the last application or renewal in either of these circumstances if a new application or renewal is not required:

l  More than one month has elapsed since the date of application.

l  The household was denied for failure to provide information, even if the agency received the application or renewal less than one month ago. See Pending an Application.

Note:  A renewal can be used as an application, without updating, if a closed household requests a new eligibility determination and has submitted a complete renewal during the renewal month. Use the renewal as the application.

How to Obtain Application and Renewal Updates

Update applications or renewals by phone whenever possible.

If unable to reach the household by phone, request the information by either:

l  Mailing a letter or memo to the client requesting updates.

l  Sending copies of the pages of the application that require updates.

Application and Renewal Updates to Look For

Review the information on the last application or renewal with the household. Ask if there has been a change in any eligibility factors, including, but not limited to:

l  Residence and address. See State Residence.

l  Household composition.

l  Other health coverage.

Note:  Require a Household Insurance Information Form (HIIF) (DHS-1922B) if the household reports a change in other coverage.

l  Income.

l  Assets.

l  Pregnancy.

Documenting Application and Renewal Updates

The same information and verification is required for an updated application or renewal as a newly submitted application or renewal.

Document results of the updates in the case record.

Use the updated information to determine the household’s eligibility and premium amount.
