Verifications for ongoing cases should be retained according to your agency’s retention policy. Your agency’s policy should be based on and concurrent with the retention schedule from DHS.
This section details information on how long verifications and/or case information should be retained.
In most ongoing cases, verification can be destroyed after three years.
Exception: Some verification may need to be retained throughout the life of the case file up until three years after the case has closed, such as:
l Alien identification cards.
l Birth certificates.
l Divorce decrees.
l Employment information.
l Asset information.
For more specific information on records retention, refer to DHS Bulletin 02-85-01 - County Human Services Records Retention Schedule.
If records are being scanned for electronic filing purposes, the original documents are retained until the scanned documents are verified and backed up.
